ENTRY PREPARATION

      

 1. General Submission Requirements

  • Each entry must include a completed Entry Form, Project Statement, and Entry fee.

  • Depending on the category, the entry should also include: a CD or DVD with digital photos, colour photo print(s), videos, brochures, etc. that support the entry. Please note: if you are entering a project in more than one category, all photos and project statements can be burned onto one CD or DVD. Each category must be contained within its own folder on the CD or DVD and named with the category number.

  • One cheque including all entry fees is sufficient if more than one entry is submitted.

  • Be sure to read the entry criteria carefully to ensure that all materials are included with the submission.

  • All entries will be judged in the condition they are received. 

  • Incomplete entries are judged accordingly and may be, under the direction of the judges, discarded due to insufficient information and materials.

  • Information will be printed exactly as submitted for press releases, certificates and trophies, so please be specific and accurate with company name, project name, etc.
    Please note: Only member companies will be recognized.

IMPORTANT NOTE: In order to ensure the objectivity of the judging process, please remove all company and individual names and addresses from all submitted materials.  Materials that are exceptions to this include brochures, marketing, and other pertinent materials in
Categories 5, 6, 7, 22, 25, 26 - 31, and 36.

 2. Project Statement

  • IMPORTANT: JUDGES WILL SCORE YOUR ENTRY ACCORDING TO THE CRITERIA, THEREFORE; project statements need to describe how the project meets the criteria for the specific category.  Use the criteria as a guideline for your statement. 

  • Project statements must not exceed the number of words specified in the requirements. 

  • Please keep in mind that project statements will be read while images are being displayed, as judges determine how this project meets the criteria

Go on-line to complete and submit the Entry Form.  Entrant will still need to mail or deliver all remaining entry requirements to the CHBA – Victoria office. Entrants must also save project statement as a text file on a clearly labelled CD or DVD (same CD or DVD as photos).

 3. Floor and Site Plans

  • All floor and site plans must be submitted on 8 ½” x 11” paper.

  • Materials must NOT contain the entrants’ company name, architects’ name, or
    exact street address of the project.

4. Photography Submission Criteria

  • The photographic component of your submission must be in digital form on a
    CD or DVD.
     If the project is being entered in multiple categories, the same CD or DVD can be used for all of the photos as long as the photos for each category are contained within its own category folder.

  • Photos may be taken with a digital camera or traditional film. If using traditional film, simply ask for your photos to be put onto CD as digital images instead of creating slides.

  • To ensure that the film developer creates your digital images to the proper specifications, bring the Digital Image Criteria Specifications noted below to the film developers.

  • If you are taking the pictures yourself with a digital camera, be sure to follow the specifications below when saving your images to CD or DVD.

DIGITAL IMAGE CRITERIA SPECIFICATIONS
Submit one CD or DVD per entry that contains the required images with the following specifications: 

  • Images can be horizontal or vertical.

  • Digital images must be submitted as a .jpeg file, 1024 pixels on the long side, at
    72 pixels per inch
    resolution in RGB colour.

  • Save the JPEG file at its highest quality setting (for Windows 10, Mac 12).

  • Final file size for each image should be less than 5 megabytes.

NAMING FILES

  • You must name files with project name, category number and sequence number
         (i.e. hilltop_cat12_1.jpeg).

  • For Renovation Categories, please add to the sequence number a B to indicate a “before” image, and add an A to indicate an “after” image.
         (i.e.  smith_cat4_1B.jpeg / smith_cat4_1A.jpeg).

  • Once all relating “before’ and “after” images are finished, continue with the numbering sequence.
         (i.e.  smith_cat4_2.jpeg / smith_cat4_3.jpeg etc.)

  • All images must be anonymous. Do not include people in your images unless required by the category. (This may not apply to "before" images in the renovation categories).

OTHER PHOTO REQUIREMENTS

  • Please also submit one 8”x10” colour photo printed traditionally on photographic paper or digitally printed at 300 d.p.i. on Pearl or Lustre surface "photo" paper (Ilford and Epson both make good quality papers) as requested by the category requirements (horizontal or vertical).

  • If you are entering a renovation category please submit one 5”x7” “before” and one 8”x10” “after” image of the same area.

  • These non-digital photos are required for our CARE Awards People’s Choice Award contest display and the CARE Awards Gallery at the event.

PLEASE NOTE: If entering a project in multiple categories, all photos may be burned onto one CD or DVD but ensure that the photos are contained within the correct category folder. The project statement text file may also be in the same folder.

5. Labelling Entries

  • All exhibit material, CD or DVD, mount board, and audio-visual materials must be clearly labelled with the category number and project name only.

6. Final Submission Details

  • All exhibit material, not mounted, must be submitted in a sealed envelope, with project name, company name, category number and category name on outside.
